Invite members and set their roles

Choose how people join, send invitations or share the join link, then give each member a role and a profile type that decides what they can do.

Before you start

  • To invite: you are an owner, organizer or admin (the default roles with invite permission).
  • To change roles, profile types and settings: you are the Flow owner, or an admin where your Flow allows it.

Steps

  1. Open the Flow's settings and choose how people join: open, approval (you accept each request), invite only, or join code.
  2. Create profile types first, so people land in the right role. Give each one a name (for example Speaker, Mentor or Sponsor), a default title, a base role, and permissions: which Wave types it can start and how many, which Wave types it can reply to, and which Page types it can create or join.
  3. Send email invitations from the Members area. You can add a personal message. Pending invitations stay listed until they are accepted.
  4. Or share the Flow's join link. Each profile type can also have its own join link, so a speaker who uses the speaker link joins as a Speaker.
  5. If you use approval, review join requests. You get a notification for each one, and you can approve or reject it.
  6. To change someone later, open the Members list, find the person, and update their role or profile type. You can also remove a member there.

Roles and what they can do

Every member has a Flow role. Profile types sit on top of the role to fine-tune it, for example letting Speakers schedule up to five sessions without making them moderators.

Troubleshooting

The invitation never arrived

Ask the person to check spam and promotions folders. Invitations come from a no-reply address at dium.io. You can also send them the join link directly.

A new member cannot post

They may have the viewer role, or their profile type may not allow that Wave type. Change it in the Members list.

Someone joined with the wrong profile type

Change their profile type from the Members list. For next time, share the join link for the right profile type.

Members from our other Flow do not show up

Flows only share members and direct messages when they are grouped in the same Room. Rooms are usually set up with our team; write to support to ask.
